What Do We Keep?

As an organisation, we hold very little data in our online capacity about you.  The main information that we hold is contact-based information.  This is predominantly your: 

*Email address that was provided when you first registered. 
*More recently, any mobile number that you have provided. 

We only use these as a point of communication between you and ourselves. 

We do not store any addresses/Postcodes (if you have ever provided these to us) in any online system. All information submitted via our online submission forms is stored securely on our website and email system provided by Digitally Transform Me in the UK.

We never share any of this information with any other agencies. 

We do not allow any other companies or organisations to advertise on our website. 

The majority of our promotional advertisements are made through social media.  Information regarding events or holiday activities may be sent via email to you.  If you do not wish to receive any of these, please let us know. 

Our text message service is used mainly for the purposes of short information provision, notifications or reminders.  We avoid this as an avenue of product/service promotion. 

As an organisation that works with children any registers, group lists or records are kept on our own locked computer system.  These are not provided to anyone else, except your child’s school if they request these. This information is always sent via encrypted email or a locked Google Drive to maintain confidentiality.

Payment Details

Payment for lessons is due up front at the beginning of each half term. Upon signing your child up for lessons, we will be in touch to let you know the exact amount for the first half term.

Our preferred payment method is by direct debit – when the lessons are confirmed you will be sent a link to complete a simple direct debit mandate online. 

If at any point you are struggling to make a payment on time, please contact us as soon as possible to explain this and make alternate arrangements. Failure to do this may result in your child losing their place as we will have a waiting list for lessons.

Information about your Direct Debit

When you agree to set up a direct debit arrangement, the information you give to us is passed to Gocardless for processing according to our instructions and payment into our Santander bank account. We do not keep a copy.

We keep this information only for the duration of the direct debit arrangement.

We are registered under the direct debit guarantee scheme. This provides for the customer’s bank to refund disputed payments without question, pending further investigation. Direct debits can only be set up for payments to beneficiaries that are approved originators of direct debits. In order to be approved, these beneficiaries are subjected to careful vetting procedures. Once approved, they are required to give indemnity guarantees through their banks.

Missed Lessons & Cancellation Policy

If your child is absent from a lesson, and no notice is given refunds will not be available as the payment is to cover our tutors time and to secure your child’s place each half term. 

In extreme circumstances where the child is absent for a long period of time, please contact us to put payments on hold and to save your child’s place. 

If your child misses a lesson due to a school trip and sufficient notice is given you will not be charged.

If you would like to withdraw your child from lessons at any point, we require a half term’s written notice (by email or letter) to allow changes to the registers to take place.

Missed Lessons due to Government Restrictions

If we are forced to stop face to face lessons due to Government restrictions and guidelines, we will provide video tutorials* for the remainder of the paid lessons. The online video tutorials will cover the period of lessons missed. After this period we will review and liaise with schools as to how we will facilitate face to face lessons in line with any government guidelines.

*Please note these we not be live lessons

COVID 19 

In light of Covid 19, we have reviewed our risk assessments and these now include more attention to the cleaning of any borrowed/shared instruments before and after each lesson, and also increased ventilation in teaching rooms. Masks/Face shields will be worn if required by Government guidelines, if not required by government guidelines mask/face shield may still be worn by tutor.

Review of this privacy policy

We may update this privacy notice from time to time as necessary. The terms that apply to you are those posted here on our website on the day you use our website. We advise you to print a copy for your records.
